Astellas Pharma
The Japanese pharmaceutical company Astellas Pharma was founded after a merger in 2005. The Nordic departments chose to continue the use of Acubiz EMS, which one of the merging parts had implemented two years earlier.
A Good Investment
It turned out to be a wise decision to adjust Acubiz EMS to the new organisation instead of throwing it away. Astellas Pharma's Nordic Chief Accountant, Michael Vorre, elaborates:

"We're definitely happy with the system. It's a relief in the daily routines, and it gives us a great return. Today, making expense reports only takes 15-20 % of the time we spent before we got Acubiz EMS. This means that we can now use our resources on other things. Furthermore, the system is fully integrated with our back office systems (ERP, finance etc.) so we have a really good overview of the expenses", Michael Vorre says.
Greater Discipline - Better Flow
The investment in Acubiz EMS has also had other positive implications:
"The system is developed for the employees. Expense reports have become more important to them, since they now own the process and are able to follow it all the way through."
Also, he believes that Acubiz EMS has had an educational effect on the employees:
"During the merger, we in the Northern countries chose to abolish the cash box and replace all company credit cards with private credit cards. And that has in fact had an educational effect on our employees. They've become more disciplined, and they do their expense reports faster, because they themselves are liable. This gives a faster and more constant flow", Michael Vorre stresses.
Simple User Interface
The Nordic CFO accentuates the advantages of the Acubiz EMS user interface and structure:
"The user interface is simple and straight forward. This means that the system is simple to work with for the daily user. That's an advantage when we train new employees. The interface in the admin-part is also very simple. Our solution is very close to the standard solution, and we've chosen to adjust our daily administration so that it corresponds to the structure of Acubiz EMS, which is working out very well.
Moreover, it's positive to see that Acubiz is continuously learning from their customers and develops the system accordingly. Our experience is that the application keeps getting better and better", Michael Vorre says. He concludes that a lot of other companies could benefit from Acubiz EMS:
